1.1 Scope and Introduction

This Privacy Policy explains how we collect, use, store and protect personal data. It applies to all services offered under the TriMed33 umbrella, including:

1.2 Information We Collect

We collect information you provide directly and data generated through your use of our services:

  • Personal and health information: Name, contact details, date of birth, medical history, treatment goals, diagnostic reports and appointment records. When you use our AI exercise tools, you may provide fitness metrics or motion data.
  • Professional information: For trainees or healthcare providers using our training programmes, we collect profession, qualifications and course participation history.
  • Transactional and payment information: Payment card details (processed via secure third‑party gateways), invoices, shipping addresses and purchase history.
  • Usage data: IP addresses, device IDs, browser type, pages visited, time spent and cookie data to help us understand how our services are used.
  • AI interactions: Queries and responses exchanged with our AI systems. We treat these as confidential health communications and apply strict access controls.

1.3 How We Use Information

We use personal data to:

  • Provide care and services: Schedule appointments, deliver treatment, create personalised exercise plans, manage membership programmes and ship products. Our therapists use collected health information to tailor programmes.
  • Operate digital platforms: Provide access to AI‑enabled rehabilitation tools, telehealth features and clinic management software. AI suggestions are overseen by licensed professionals.
  • Process transactions: Complete purchases of sessions, memberships, ozonated oils or medical devices; arrange shipping; and collect fees.
  • Communicate with you: Send appointment reminders, updates about new products or services, marketing offers (with your consent), and educational material.
  • Conduct training: Enrol you in courses, track progress, provide certification and communicate about upcoming training opportunities.
  • Improve our services: Analyse usage patterns, refine AI models, develop new treatments and measure outcomes. We may use de‑identified data for research and product development.
  • Comply with legal obligations: Fulfil regulatory requirements, protect public health and respond to lawful requests from authorities.

1.4 Legal Bases

Where applicable (e.g., under EU/UK law), we rely on one or more lawful bases: contractual necessity (to deliver services), legitimate interests (to improve services, ensure security and market responsibly), consent (for marketing, sensitive health data and AI analysis), and legal obligations (for record keeping and compliance).

1.5 Sharing of Information

We share personal data only as necessary and never sell it. Recipients include:

  • Healthcare professionals: Physiotherapists, rehabilitation specialists and doctors involved in your care.
  • Third‑party service providers: Payment processors, cloud hosts, analytics services, logistics providers, customer‑support platforms and training partners. These parties may access data only to perform services on our behalf.
  • Business partners: Institutions collaborating on research or training programmes. We share only aggregated or necessary information and require partners to respect confidentiality.
  • Regulatory and legal authorities: Where required to comply with law, protect safety, prevent fraud or respond to legal proceedings.

If we undergo a merger, acquisition or asset sale, your data may be transferred as part of that transaction subject to adequate safeguards.

1.6 Data Storage and Security

We store data on secure servers with encryption, access controls and monitoring. We retain health records for the period required by medical regulations and training records for certification purposes. AI interaction data may be retained to improve our models, but we remove personal identifiers wherever possible. We continuously review and update our security practices.

1.8 Cookies and Tracking Technologies

We use cookies, pixel tags and similar technologies to remember preferences, deliver content and perform analytics. You can manage cookies in your browser settings. Blocking cookies may affect functionality.

1.9 AI Use and Limitations

Our AI platforms provide personalised exercise and rehabilitation recommendations. These tools do not replace professional medical advice and are intended to assist therapists. The AI may occasionally produce inaccurate or unsuitable suggestions; always consult a qualified clinician before acting on AI outputs. We monitor AI performance and incorporate feedback to improve accuracy.
